WHO WE ARE
This policy sets out the different areas where user privacy is concerned and outlines the obligations and requirements of the users, the website and website owner. The way this website processes, stores and protects user data and information will also be detailed within this policy.
WHAT PERSONAL DATA WE COLLECT AND WHY WE COLLECT IT
At the Chalice Foundation we are committed to maintaining the trust and confidence of the visitors to our web site. In particular, we want you to know that the Chalice Foundation will not sell, rent or trade email lists with other companies and businesses for marketing purposes. There are five ways in which your data might be collected via this website:
- If you sign up to our mailing list
- If you use our contact form
- If you pay for one of our workshops or products using online payment
- If you make a donation using online payment
- By cookies used on our site
Additionally if you decide to attend one of our workshops or trainings we will ask you to complete a booking or application form. If you apply to work with us we may also need to ask for further information such as your Working With Children Check status (or similar).
Your data is kept safe and secure and there are four cases in which your data might be seen or shared:
- If you sign up to the mailing list, your data will be sent to the third party software used for our marketing automation platform. For this we use Mailchimp.
- If we need to share your details with a third party, for example the venue at which a workshop is run and you are attending, we will always ask for your permission first
- Our accountant might see your name and email address
- If you choose to pay via Stripe, your details will appear in our Stripe account.
SECURITY OF PERSONAL INFORMATION
Your personal information is stored in a manner that reasonably protects it from misuse and loss and from unauthorized access, modification or disclosure. When your personal information is no longer needed for the purpose for which it was obtained we will take reasonable steps to destroy or permanently de-identify it.
Documents and other files: Documents and files pertaining to you (such as proof of WWCC status, an application form or booking form) are stored on password protected and encrypted cloud storage, or in secure paper storage. These are kept for the duration of your time working with us and for as long as is legally necessary and then permanently deleted or shredded (and disposed of sustainably in the case of paper).
Credit card details: Purchasing will normally be carried out by bank transfer or Stripe, however credit card details are sometimes needed to pay for attendance on our workshops. In some cases, this needs to be done over the phone, and all efforts are taken for you to read the details off your card while they are entered by us into the third party website. If it is not possible to coordinate this with you and we need to write down your credit card details on a piece of paper this paper is then shredded after the details are used. These details are never saved to the browser, stored in a document on the cloud or on a computer.
